Provide direct support to the executive office across day-to-day tasks and long-term projects.

Maintain strict confidentiality regarding executive discussions, board matters, contracts, and internal communications.

Assist with contracts, bookings, scheduling, and communications with internal and external partners.

Prepare, edit, and organize forms, documents, and procedure manuals.

Manage purchase order (PO) system and coordinate ordering needs.

Assist with preparation, distribution, and organization of board minutes, meeting packets, and confidential materials.

Communicate professionally with board members and support logistics for board-related activities.

Collaborate with team members to ensure tasks, deadlines, and projects are completed successfully.

Support the development and documentation of organizational procedures and workflows.

Maintain organized electronic and physical filing systems.

Assist with vendor communication, research, and coordination.

Handle miscellaneous operational tasks, “odds and ends,” and special projects that arise in the executive office.

Serve as a liaison between the executive office, staff, the Board of Directors, and external companies.

Communicate clearly and professionally across all levels of the organization.

Proven experience in administrative, executive support, or operations roles.

Exceptional organizational skills and attention to detail.

Ability to handle confidential information with integrity and professionalism.

Strong written and verbal communication skills.

Job Description
Job Title: Community Engagement & Development Officer
About the Role:
TOPS Club Inc. is seeking a motivated, relationship-driven Community Engagement & Development Officer to expand our visibility, strengthen community connections, and secure essential funding that supports our mission. This role blends outreach, grant management, sponsorship development, donor engagement, and strategic relationship-building.
Key Responsibilities:
Grant Management
- Research, identify, and pursue city, state, and federal grant opportunities.
- Prepare, write, and submit grant proposals and required documentation.
- Maintain compliance with reporting requirements for awarded grants.
- Track grant deadlines, deliverables, and financial requirements.
Donor & Sponsorship Development
- Build and maintain relationships with individual donors, corporate partners, and foundations.
- Coordinate and execute fundraising campaigns and outreach initiatives.
- Develop sponsorship packages and secure advertisers for events, publications, and campaigns.
- Support messaging and promotional materials for donor-related activities.
Strategic Outreach & Engagement
- Create and implement strategic engagement plans that expand awareness of TOPS Club Inc.
- Cultivate partnerships with community groups, health organizations, businesses, and stakeholders.
- Represent TOPS at community meetings, conferences, outreach events, and partner engagements.
- Track engagement metrics and make recommendations for improvement.
Collaboration & Internal Support
- Collaborate with leadership and program teams to align fundraising and outreach efforts.
- Assistwith special events including donor events and sponsorship activities.
- Prepare reports, presentations, and updates for internal stakeholders.
Qualifications
- Bachelor’s degree in nonprofit management, communications, public administration, orrelatedfield (or equivalent experience).
- Experience in outreach, fundraising, development, or grant writing preferred.
- Strong written and verbal communication skills.
- Excellent relationship-building and networking ability.
- Organized, detail-oriented, and capable of managing multiple funding deadlines.
- Comfortable presenting to groups andrepresentingthe organization professionally.
- Familiarity with CRM or donor-management systems a plus.Compensation & Benefits
- $50,000 starting salary

The TOPS Heritage Society was established as a way for members and friends of TOPS to join with each other to preserve and continue our rich tradition of helping others live their healthiest lives now and into the future.
Support the Esther S. Manz Memorial Garden
The Esther Manz Memorial Garden, located at TOPS Headquarters, is a beautiful garden and winding pathway lined with engraved bricks honoring TOPS member’s both past and present. Anyone can support the Memorial Garden by ordering engraved pavers, limited edition pins and more.

- Answer and direct incoming calls promptly and professionally.
- Manage and distribute messages to staff as needed.
- Respond to helpdesk emails.
- Assist with processing new memberships and renewals.
- Perform other clerical duties as assigned.
- High school diploma or equivalent.
- Previous receptionist or customer service experience is a plus.
- Strong verbal and written communication skills.
- Professional phone etiquette and a friendly demeanor.
- Ability to multitask and remain organized.
- Basic computer skills, including proficiency in Microsoft Office (Word, Outlook, Excel).
